How to Choose
Spec sheets compare numbers. These questions compare how your office actually works — answer them and the right device usually picks itself.
Or skip the homework.
We'll pull your current meter reads, look at how your team prints, and make recommendations — no obligation.
Volume decides the system class. A device rated well above your real volume lasts longer and needs less service; one rated below it wears out early. Count your last three months of prints and copies — we can pull the meters for you.
Look for: Recommended monthly volume, not just maximum
If anything you print reaches a customer, color pays for itself. If it's internal paperwork and forms, a dedicated monochrome device costs less per page and less to keep running.
Look for: Separate color and mono cost-per-page in the contract
Speed (pages per minute) matters most when a line forms. A five-person office rarely notices the difference between 30 and 50 ppm; a thirty-person floor does. Match speed to the people, not the spec sheet.
Look for: First-page-out time and warm-up time, not just ppm
Modern devices route scans straight to email, shared folders, or cloud platforms and can OCR them on the way. If your team still scans to a desktop and forwards by hand, the right workflow features save more time than any speed rating.
Look for: Scan-to-cloud, searchable PDF, and one-touch workflow buttons
Stapling, hole-punching, booklet-making, and extra paper drawers are add-ons — order the ones you'll use and skip the rest. Measure the space, including door swing and clearance for service.
Look for: Finisher options and the device's full assembled dimensions
A copier is a networked computer with a hard drive. Current Canon devices verify their own firmware at startup, encrypt stored data, and can feed events to your security tools — and firmware updates keep adding protections over the life of the system.
Look for: Verify System at Startup, encrypted storage, and secure-print release
